3. How and Why We Use Your Data

We process personal data only for specific, defined purposes and always on a lawful basis under GDPR Article 6:
  • To provide our candidate-finding service to clubs — Legal basis: contractual necessity for clubs (Art. 6(1)(b)); consent for coaches who voluntarily submit their profiles (Art. 6(1)(a)).

We do not use your personal data for automated decision-making or profiling that produces legal or similarly significant effects.

4. Consent and How to Withdraw It

Where our processing of your data is based on consent — in particular, a coaching professional’s consent to have their profile shared with clubs — you may withdraw that consent at any time by contacting us at [email protected]. Withdrawal of consent will not affect the lawfulness of any processing carried out prior to withdrawal. Upon receiving a withdrawal request, we will stop using your data for the relevant purpose within 30 days and will confirm this to you in writing. For website cookies, you may withdraw consent at any time via the “Manage Cookies” link in the footer of our website.

5. Who We Share Your Data With

We share personal data only in the following limited circumstances:
  • With clubs: Coach profiles — including CV, profile video, contact details, and professional information — are shared with clubs only where a relevant opportunity exists, only to the extent necessary for the club’s evaluation, and only with the coach’s prior consent provided at the time of profile submission.
  • With coaches: Club contact details and role information are shared with coaching professionals only in the context of a specific introduction.
  • With our technology providers: We use Google Workspace for communications, Calendly for meeting scheduling, WordPress for website hosting, and Google Analytics for website analytics. These providers act as data processors on our behalf and are bound by appropriate data processing agreements. They do not use your data for their own commercial purposes.
  • With Microsoft: We use Microsoft Clarity to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve our service and website usability. Website usage data is captured using first and third-party cookies and other tracking technologies. Additionally, we use this information for site optimization, fraud/security purposes, and advertising. For more information about how Microsoft collects and uses your data, visit the Microsoft Privacy Statement.
  • With our methodology partner: Where a coaching professional participates in a training programme offered in collaboration with our partner, relevant profile information may be shared with that partner solely for the purpose of delivering the training. This sharing only takes place with the coach’s explicit consent and is entirely separate from the candidate-finding service.
We never sell, rent, or trade personal data with any third party for commercial or marketing purposes.

6. International Data Transfers

Padel Maestros LTD operates globally. In the course of providing our services, personal data — in particular coaching professional profiles — may be transferred to clubs and organisations located anywhere in the world, including countries outside the European Economic Area (EEA). We place coaches internationally and the destination country will depend on the specific opportunity and the coach’s expressed preferences. Where data is transferred outside the EEA, we ensure that appropriate safeguards are in place. For transfers to countries recognised by the European Commission as providing an adequate level of data protection, we rely on the relevant adequacy decision. For all other transfers, we rely on the European Commission’s Standard Contractual Clauses (SCCs) or other lawful transfer mechanisms as required under GDPR Chapter V. By submitting a profile or enquiry through our website, you acknowledge that your data may be shared with parties in countries outside the EEA relevant to your expressed preferences or the opportunity in question.

7. How Long We Keep Your Data

  • Active coaching profiles: Retained for as long as the profile remains active or until you request deletion.
  • Inactive coaching profiles: Retained for up to 24 months from the date of last activity, after which the data is deleted or anonymised — unless you have expressly requested that we retain it.
  • Club contact and contractual records: Retained for the duration of the business relationship and for 5 years thereafter, in accordance with Bulgarian commercial and tax law.
  • Website analytics data: Retained in accordance with Google Analytics settings (default: 14 months).
  • Meeting scheduling data: Retained in accordance with Calendly’s own data retention policy.
You may request deletion of your personal data at any time, subject to any legal obligations we may have to retain certain records.

8. Data Security

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, destruction, or alteration. These measures include access controls, encrypted communications, and regular reviews of our data handling practices. In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the relevant supervisory authority within 72 hours of becoming aware of the breach, as required by GDPR Article 33. Where the breach is likely to result in a high risk to you personally, we will also notify you directly without undue delay.

11. Cookies
